Applications & suitability

A place that fits the dog, the person and the group

Before a family joins, bring their goals, the dog’s age, handling and welfare information, and any access needs into one application. A named trainer reviews the details and helps them find the right next step.

The dog behind the name

Register new families and check the person and dog before connecting their records. Keep distinguishing details close, including when two dogs share a name. Each participant has their own application and place.

Your professional judgement

Check prerequisites and the arrangements the dog and handler need. Ask for clarification, offer a suitable place, waitlist or refer to appropriate help. Private review notes stay with the authorised team.

An offer they can follow

Show the actual dates, named adult handler, price, deposit and terms with a clear reply deadline. The owner accepts that specific place, and you both keep the agreement they made.

What happens when a class is full?

Keep an ordered waiting list for the particular group. When a place opens, a named team member reviews the next application and makes a time-limited offer that holds the selected dates.

The family can review and accept the offer. If it expires, the place becomes available for a fresh review, with the next contact task clear to your team.

Classes, one-to-ones & changes

The right trainer. The right space. The agreed dates.

Plan group courses and individual sessions around your instructors, venues and class limits. Your diary brings the dated sessions and participant rosters together, with month, week, day and agenda views for the way you work.

Check availability, time between venue bookings and overlapping commitments before offering a place. Whether they book a full course, the remaining dates or a single session, owners can see the dates and what completing that option involves.

Owners can reread the dates they accepted and ask for a change. Keep their request beside the original agreement, ready for someone to review.

How do repeating classes and holiday dates work?

Set the instructor’s and venue’s working hours and holiday exceptions, then review the actual dates before adding a series or individual openings. Check overlapping bookings and allow for the weeks when the clocks change.

Changed dates need the owner’s agreement. Both sides can follow the earlier dates and the replacement arrangements.

What about missed lessons, makeups and transfers?

Record the absence and agree the next step: a suitable makeup, a transfer to another group on the same course, or a cancellation under your terms. Check the new dates, capacity and suitability, then ask the owner to accept the offer.

Keep the original attendance, teaching and agreed charges visible through the change. Any extra lesson or financial adjustment has its own reviewed agreement; refunds remain linked to the original payment.

After a busy class, the owner can reread the practice you gave their dog: the steps, the reward-based approach, when to stop and when you will review it. Keep the instructions specific to the participant, including the adjustments that make the exercise manageable for them.

They report how practice went. You review their account, give feedback and adapt the next step. The conversation stays beside that assignment, ready to pick up before the next lesson.

Can we reuse lessons while keeping them individual?

Build a reviewed library of written lessons, then review an assignment for the class with each dog’s individual adaptations. Keep the steps, stop guidance and review date together.

Owners report against the instructions they actually received. When you update a lesson, the earlier instructions stay with their report, so you can follow which advice they practised and which account you reviewed.

Attendance & progress

Celebrate the steps you actually saw

The first calmer greeting. A loose lead for a few more steps. A handler getting the timing right. Give those observations a place beside the lesson, so the family can see what they are building on.

The lesson that happened

Record the actual handler, attendance and teaching time, including a late arrival, early finish or welfare pause. Keep absences and factual corrections beside the original entry.

Progress you can explain

Record skills as introduced, practising or demonstrated against your course criteria. Trainer observations and owner practice reports show who recorded them, giving you a useful picture for the next lesson.

Your school’s completion record

Issue your own school certificate when the agreed attendance and assessed skills are complete and practice reports have been reviewed. Keep the dog, handler, course and supporting evidence together.

What if the trainer changes or a concern needs following up?

Give a covering instructor named responsibilities for teaching, assessment and practice follow-up. They can see the information their role needs and pick up the agreed work with the participant.

If the dog’s circumstances change or someone raises a welfare concern, pause teaching and review current suitability. Keep the next contact and any referral clear. Your professional scope and veterinary advice guide the decision.

Know which course the deposit belongs to

The family needs a clear price. You need to know which place the payment covers, what remains outstanding and what changed when a lesson moved. Keep the account alongside the accepted course.

The price they agreed

Keep the accepted course price, deposit and applicable VAT details with their place. Till entries and receipts refer to that agreement, even when your prices for new courses change.

Paid, outstanding, refunded

See recorded payments and the remaining balance. Review cancellation charges or waivers under the agreed terms, and keep any refund with its original sale and reason.

Lesson packs you can follow

Course-eligible prepaid packs show the accepted dates they cover and the teaching used. Review unused lessons when arrangements change, keeping the lesson record and the money easy to reconcile.

Start with the teaching you already do

You bring your curriculum, prerequisites, instructor responsibilities, terms and way of assessing progress. We’ll talk through the courses you run, the information you need from owners and the tools you use today, then agree the setup and connections your business needs.

Owners have their own timetable, practice, progress and updates. Your team keeps the access each role needs, while private review notes and other families’ records stay with the right people.

How do we bring existing course records with us?

Start with the selected customers, dogs and course bookings you want to bring across. Review possible duplicates, then check your instructors, venues and the actual dates together. Keep the original course agreement beside the imported place.

Balances and prepaid credit need their own reconciliation. Agree those figures with the supporting payment records before using them in the new account. We’ll review your existing software and exports together.

A few things you may be wondering

Is Dogoos for independent trainers as well as schools?

Both. Organise individual sessions or group courses around your dates, venues and instructor availability. Keep applications, accepted places, home practice and progress together. We’ll discuss how you teach and the setup that fits your business.

Can we give each dog different home practice?

Yes. Assign written practice with individual instructions, adaptations, stop guidance and a review date. Owners report against the version they received, and a named trainer reviews their account and responds. A reusable lesson library helps you prepare assignments while keeping each participant’s needs in view.

What happens if someone misses a class?

Record the absence, review the options under the accepted course terms and offer suitable replacement arrangements. Makeups and same-course group transfers need available places, a suitability check and the owner’s acceptance. Original dates, attendance and financial records remain available through the change.

Can another adult bring the dog?

The owner can request a named adult handler, with the dog and dates covered by that permission. Your school checks the person and arrangement before accepting it. Record who actually attends; permission to handle the dog gives them that role, while the owner’s private practice reports and account remain separately controlled.

Can we keep our existing booking and payment tools?

Tell us what you use and which information you want to bring together. We’ll review your records, exports and any proposed connections before agreeing the setup. Payment-provider arrangements, existing balances and course agreements need to be checked with your business.

What does it cost?
