A booking starts with dates. Looking after the dog means keeping much more beside them: the food they recognise, the person allowed to collect, the walk still to do and the detail the evening team needs. Each dog has their own stay and care record, even when a family books more than one.

Their usual bowl shouldn’t need a new essay

Owners know the small things: the usual meal, the quieter walk, the person their dog trusts. Let them share the selected routines, notes and dog history that will help you prepare for this visit, then check the details together.

Sharing is the owner’s choice. They decide what to share and who can see it. Making a booking does not open the dog’s whole history, and current sharing can be withdrawn.

How do shared notes become the plan for this stay?

The owner chooses the dog, the information, the people receiving it and how long to share it for. Your team checks those notes with the owner before agreeing the care for this visit.

A helpful history starts the conversation. Changed food, handling needs or medicine instructions still need checking, so last month’s routine does not quietly become today’s plan.

Calendar & bookings

A changed date shouldn’t leave a trail of loose ends

Whether a family enquires, calls or arrives at the desk, keep their dates and agreed booking together. See arrivals, departures and daycare visits by month, week, day or agenda. Set collection hours and closed dates while keeping dogs already staying with you in view.

When plans change, check the new dates and price with the owner. Keep the earlier agreement beside the update. Each dog can be changed separately, so a sibling’s cancelled visit does not unravel the stay of the dog already in your care.

Space for the whole stay

Check the full visit against residents, cleaning and unavailable spaces. If a dog needs another room, check the move before agreeing it.

Extras without the guesswork

Keep a booked walk, meal or enrichment activity with the dog receiving it, including the agreed price and day. The team can see what needs doing.

If a place opens up

Give families on the waiting list a clear place offer and reply deadline. Check the dates and terms when they accept, and follow up when an offer runs out.

Bring agreed instructions and the day’s care together for each dog. A team member can take responsibility, record what happened and leave the detail the next person needs. Half a meal eaten, a quiet walk enjoyed or something still to do: it all belongs here.

What follows the medicine through the stay?

Keep the medicine received, agreed instructions, last dose, doses given and supplies going home with the dog’s record. The people giving medicine need the right staff permission and checked instructions.

Your veterinary instructions remain the guide. A note from an earlier visit does not approve a new dose, and an unfinished task does not count as medicine given.

What if someone needs to correct a care entry?

Keep the original entry and add the correction, showing who made it and when. The next shift can follow what changed without losing the first account.

You can also add a factual correction after collection and share it with the owner who received the original record. A new owner connection does not inherit someone else’s private history.

Daycare & safety

A sociable day starts with the right company

Some dogs are ready to join a group. Others need a quiet corner, an individual walk or another conversation before they arrive. Keep handling notes, rest plans and the owner’s wishes beside the individual dog.

Bring your intake and space rules into the booking decision. The team can plan a suitable day and give the owner a report card based on what they actually observed.

What gets checked before dogs join a group?

Keep vaccination evidence and dates, suitability for the group, age, season and handling needs together. Check the people and space available for the day. Where younger dogs need consent to mix with older dogs, check that for the current visit.

Cleaning, unavailable rooms and dogs needing isolation stay part of the placement decision, including when a dog moves to another space.

Shift handovers & owner updates

The next shift shouldn’t have to guess

Half a bowl eaten. A walk still to do. A call waiting for an answer. Pass the outstanding care and last-dose details to the next named person, so they can accept the handover knowing what needs their attention.

Owners can follow their dog’s stay, read selected updates and ask a question in one place. Your team keeps the conversation beside the care, with the next action clear.

Keep the bill as clear as the care

At collection, the owner should be able to follow the bill. Your team needs the same clarity when a booking changes, a pass is used or it is time to reconcile the till.

The agreed bill & VAT

Keep the agreed stay price, individual extras, shop items and authorised discounts together. Set the applicable VAT details and give the owner a receipt that keeps the price and tax breakdown from their sale.

Passes, balances & refunds

Keep track of deposits and business accounts. See what a daycare pass covers, what the owner has paid and what remains to pay. Keep refunds linked to the original sale, with the reason for the return.

Figures you can follow

Review occupancy, sales, payment categories and outstanding accounts. Compare the till with the cash counted at close, and export figures for your accountant to check and reconcile.

How do we bring our existing records with us?

Start by agreeing which dog and future booking records you need. Review the people, dogs and possible duplicates before bringing selected records across, so familiar names do not get mixed up.

Owner sharing still needs their permission. Existing financial and veterinary records need their own review, so we can agree what belongs in your setup.

A few things you may be wondering

Is Dogoos for boarding, daycare or both?

Both. Follow overnight stays and daycare visits through the calendar, care and collection. Each dog keeps their own instructions and record, including when several dogs arrive on one family booking.

Can owners share their dog’s usual routine?

Yes, with their permission. Owners can choose selected routines, notes and dog history to share for a visit. Your team checks the information before agreeing the care. Sharing is optional, and booking a stay does not open the dog’s whole history.

Can we keep track of medicine and special care?

Keep checked instructions, medicine received, doses given and supplies returned with the dog’s stay. Give the right staff permission to record medicine and pass the last-dose details between shifts. Your veterinary instructions remain the guide; Dogoos does not choose a treatment or dose.

How do owners get updates?

Share selected care updates and messages beside their dog’s stay, so owners can follow the visit and ask a question. The team can see acknowledgements and the care still to do. For an urgent concern, contact the responsible person directly.
